Following the steps in the video or below, you’ll ensure your Agent is fully prepared to represent your practice, engage with leads, and book appointments efficiently.

Steps to activate, customize, and train your CRTX Agent for optimal performance.

Step 1: Activate the CRTX Agent
If you haven't activated your Agent yet, you’ll see a large blue button labeled “Activate” in the CRTX Platform. Simply click the button to wake up the Agent and prepare it for training.
Step 2: Review and Customize the Agent's Pre-Loaded Prompt
Once activated, your Agent comes pre-loaded with an advanced prompt that includes instructions for handling common new patient inquiries, such as questions about services, pricing, and appointment availability. This prompt has been optimized for healthcare providers, but if you’re comfortable with customizing agent prompts, you can modify it to suit your needs. However, no changes are necessary for it to perform effectively.
Step 3: Upload Files for Training
To further personalize your CRTX Agent, you can upload additional documents that contain important information specific to your practice. These files can include details about your services, pricing structures, or any unique protocols your office follows. The system accepts the following file types: PDFs, .docx, .txt., JSON.

You’ll find the Upload Files section below the prompt. Simply upload your documents here, and the Agent will use them to train.
Step 4: Training Timeframe
After uploading your files, the CRTX Agent will begin training. This process typically takes 4-24 hours, depending on the volume of material uploaded. During this time, the Agent will learn the information and be ready to assist with accuracy and relevance.
Step 5: Testing the CRTX Agent
Once the Agent is trained, your Customer Success Manager will help integrate it into your practice’s website. Typically, we set up the Agent on a hidden page for testing purposes. This allows you to see how the Agent performs before it goes live to the public.

You’ll be able to test the Agent’s responses to common patient inquiries, its ability to book appointments, and how it handles escalations for more complex questions or emergencies.

Step 6: Updating and Retraining the Agent
If you need to update the Agent’s responses or train it with new information, simply create a new document with the relevant details and upload it in the Agent Training area of the CRTX platform. The Agent will retrain using the updated material, ensuring it stays up to date with any changes in your practice.
Step 7: Pushing the Agent Live
When you’re ready to make the CRTX Agent live on your website, notify your Customer Success Manager, and they’ll assist you in launching the Agent. From this point, your Agent will be live and ready to engage with potential patients in real time, 24/7.
